What is Fact?

FACT stands for Faculty-Advisor Communication Tool and is a new application to allow course instructors to report progress on students to the students’ advisors for follow-up.

FACT allows faculty to review their list of courses, view the roster for each course, and submit cases on enrolled students. FACT includes student photographs, athletic status, and other details to assist in the identification process.


What Is a Case?

Cases are submitted by course instructors for enrolled students when deemed necessary by the faculty member. They are a means of communicating with student advisors and will include:

  • Warnings
  • Attendance Reports
  • Progress Reports

When Should I Log Cases?

Faculty should use their own judgment as to when to log a case. Most warnings should be submitted early in the term to allow advisors time to properly counsel the student on the ramifications of dropping or withdrawing from a course.

Attendance reports should be submitted when it is clear that a student is no longer attending class. Progress reports should be sent periodically based on requests from athletic and other specialty advisors.


Logging in to FACT

Faculty can access FACT at the following URL:

Review Your Courses

Once you have logged in, you will see a screen with your courses. This screen contains the course and section numbers for your courses in the current term:

Here you can review the number of cases you have already submitted for each course, and the date of last submission.


Take an Action

Red Triangle: The red triangle icon represents a course where no action has been taken. For courses with this icon, choose one of two actions:

  • No Cases: Click this button to indicate the course does not currently have cases to report. Note that you can still submit cases at a later time if needed.
  • Submit Cases: Click this button to review the course roster and select appropriate students for cases. Note that you can cancel this process if you subsequently determine that you do not have cases to submit.

Green Checkmark: When any action has been taken for a course, a green check will be displayed.


Review Enrollments

Clicking the Submit Cases button for a course on the FACT home page will navigate you to the selected course roster such as that shown below:

Here you can review an alphabetical list of enrolled students with their NUIDs. If a student has not opted out, a camera icon will be displayed to indicate that you can access the current student photograph. Clicking on this icon will open the photograph in a new window.

Additional fields list whether the student is an athlete, as well as the team of which the student is a member.


Select Students

Review the list of enrolled students, and check to select one or more students for whom you wish to submit cases.

You will have the opportunity to return to this page, so it is your preference whether you select one student, a subset of the students for whom you wish to submit cases, or every enrolled student for whom you wish to submit a case. Once you have made your selection, click the Next button.

Optionally, click Cancel to return to the course listings home page and not submit cases at this time. Note that no action will be logged in this case, and the red triangle may still appear for the course if you have not previously submitted cases.


Create Cases

If you selected to submit cases for more than one student, the application will cycle you through creating multiple cases. You will be able to determine where you are in the process by reviewing a screen header bearing a message such as “Case 1 of 2.”

For each case, select a case type and complete the appropriate fields. Case types and their corresponding fields are described on the other side of this guide.

Select an action after completing the case:

  • Cancel: This button will cancel your action before submitting the case. Cases already submitted will not be affected.
  • SKIP and Next Case: Use this button if you change your mind about submitting a case for this student but wish to continue with the next selected student.
  • SUBMIT and Next Case: This button will submit the case to the advisor immediately and navigate you to a new screen to continue entering cases for selected students.

Review Your Submitted Cases

On the course listing home page, click the Review-Submitted-Cases link to review a full history of cases you have submitted for each course. Click the + icon next to the course name to view a listing of cases. Cases may have advisor comments listed. Click the case date for more details.


Submit Additional Cases

Follow the same process to submit additional cases throughout the term.
