Case Types


What Is a Case?

Cases are submitted by course instructors for enrolled students when deemed necessary by the faculty member. They are a means of communicating with student advisors and will include:

  • Warnings
  • Attendance Reports
  • Progress Reports

Case Type: Warning

Purpose: To identify students with:

  • Poor or declining performance in a course
  • Difficulty with course work, examinations, or more general difficulties such as tardiness or inadequate preparation

Faculty Options:

  • Send E-Mail to Student: This option will be selected by default, but you can choose to uncheck it if you prefer to not alert the student by e-mail.
  • Concerned with Grade: Select this box if there is a concern with the student’s overall grade in the course.
  • Grade to Date: Select a value to inform the advisor of the current grade.
  • Concerned about Failing: Select this box if there is concern that the student may fail the course.
  • Areas-of-Concern section: Select the appropriate checkboxes that indicate your concerns with the student. Please expand on these selections in the Comments field.
  • Suggestions section: Select the appropriate checkboxes to suggest the student see you during office hours or to seek tutoring. Please expand on these selections, and make any other suggestions you may have in the Suggestions field.

Advisor Options


Case Type: Attendance Report

Purpose: To identify students who:

  • Never attended class
  • Stopped attending class
  • Sporadically attend class

Faculty Options:

  • Never Attended: Select this box to indicate the student never attended the course. This information will be reported to the Registrar.
  • Stopped Attending: Select this box to indicate the student is no longer regularly attending the course.
  • Stopped Attending On: If the student has stopped attending, please fill in the date of the first missed class. If the exact date is not known, select an approximate date.
  • Other: Complete any other fields described under the Warning section as appropriate. This information will be used by the advisor to counsel the student.

Advisor Options


Case Type: Progress Report

Purpose: To provide:

  • Updates on student athletes
  • Updates to DRC advisors
  • Other progress updates based on special requests

Faculty Options:

  • Grade to Date: Progress reports are used periodically for updates on certain students. Select a value to inform the advisor of the student’s current grade.
  • Comments: If there is additional data to report, use the Comments field for free text entry.

Advisor Options

The advisor fields can be used for all case types listed above. Follow the guidelines below to complete these fields based on your meeting with the student. Note: Most fields completed in this section will be visible to the course instructor.

The following checkboxes should be used to indicate the suggestions made to the student in your meeting:

  • Referred to Course Instructor
  • Referred to Faculty/Department Advisor
  • Referred to Career Services
  • Referred to Counseling Center (Note: This field will not be made available to faculty.)
  • Referred to Tutoring

The following fields are available for other suggestions and results:

  • Discussed GPA Impact
  • Discussed Ramification of Withdrawal
  • Advisor Communication to Faculty (This free text area lets you summarize your meeting with the student for the course instructor’s benefit.)
